From the brief to the inspection record

A clear inspection process.

Agree the requirements before production or inspection. Keep findings linked to the product, batch and order you are buying.

  1. 01

    Define the reference

Review models, ratings, drawings, quantities, destination requirements and the approved sample where applicable. Confirm which documents and checks are needed.

  2. 02

    Agree the inspection plan

Set the timing, check items, sampling or full-inspection scope, defect classifications, acceptance limits and reporting. Confirm qualified personnel, equipment, access and any test charges.

  3. 03

    Check the goods and records

Coordinate the agreed visual, quantity, dimensional and packing checks. Review available factory records and arrange agreed functional tests or qualified testing where specified.

  4. 04

    Record findings and exceptions

Identify the items inspected, method, results, photos and any missing documents or uncompleted checks. Record deviations against the agreed criteria.

  5. 05

    Resolve issues before dispatch

Share findings with you and the supplier. Coordinate the agreed correction, rework or further checks. Dispatch follows the release conditions and authorisation in your order agreement.

The checklist depends on your product

What we can coordinate.

The examples below help define your inspection plan. Each item is included only when it is listed in the agreed scope and the required access or test facilities are available.

Product identity

Models, ratings & markings

Match the product and order references. Check nameplates, rated voltage and current, model codes, pole configuration, coil voltage, batch identification and agreed label content where applicable.

Visible condition

Appearance & assembly

Check visible damage, moulding and finish, assembly consistency, accessories and the agreed product configuration. Compare accessible features with the reference drawing or sample.

Installation fit

Dimensions & connections

Check agreed mounting dimensions, cut-outs, terminal positions, cable entries, conductor connections or supplied accessories using the specified measurement method.

Order accuracy

Quantity & packaging

Check the model mix, quantity using the agreed count or sampling method, inner and outer packing, shipping marks, instructions, accessory packs and packing-list consistency.

Agreed operation

Functional checks

Coordinate specified switching, indicator, mechanical or other functional checks. Energised tests require suitable equipment, qualified personnel and an agreed procedure.

Evidence trail

Documents & factory records

Review available drawings, datasheets, factory routine-test records and model-specific certificate details against the order. Record document revisions, product coverage and any gaps.

Examples to discuss when preparing your product-specific checklist

PV & DC componentsExact model, DC markings, poles, polarity labels, connectors and assembly scheduleProduct-specific DC test records and agreed testing for the intended application
Choose the level of checking

Match the scope
to the order.

Agree how many units are checked, what is checked on each unit and which tests need a factory facility or external laboratory.

Selected units

Sampling inspection

Check selected units from an identified batch using the plan agreed in writing. Specify lot size, inspection level where relevant, sample size, defect categories and acceptance or rejection limits.

If an AQL plan is requested, its parameters must be agreed for the order. AQL is a sampling acceptance parameter; it does not guarantee the defect rate in the entire batch.

Every unit, defined items

100% inspection

Check every unit for the specific items listed in the scope, such as an agreed visual or functional check. Feasibility depends on the product, test method, equipment and time required.

Full inspection is quoted before work starts. It covers the agreed characteristics and conditions at inspection; it does not establish zero defects across all product properties.

Product-specific evidence

Electrical & laboratory testing

Coordinate specified factory tests or third-party laboratory work when required. Agree the test method, exact model, sample, facility, personnel, cost and report requirements first.

Visual checks, a factory visit or a company logo cannot establish breaking capacity, endurance, temperature-rise performance or destination-market approval.

Set the requirement before you buy.

Share the destination market and required product documents at the enquiry stage. Certification, type testing and technical design approval require their own scope; they are not automatically included in Pro, Basic or a factory visit.

The agreed inspection record

Findings you
can follow up.

Your quotation defines the report format and delivery timing. The record should make clear what was checked, what was found and which actions remain open.

Discuss your reporting needs
Order and batch
Product models, quantities, supplier, location, date and inspection reference.
Checks performed
Specification revision, sample references, sample count, methods and actual scope.
Results and evidence
Observations, recorded measurements where agreed, photos where permitted and document references.
Exceptions and actions
Defects, missing evidence, checks not completed, supplier response and agreed next steps.
When a check finds a problem

Record it.
Agree the response.

We share the findings, identify the affected items or sample and coordinate the next steps with you and the supplier. Depending on the order agreement, this may involve clarification, sorting, rework, replacement or further testing.

Re-inspection, extra travel, third-party work and changes to delivery dates or costs are confirmed before additional work starts. The order agreement governs product acceptance, any warranty, remedies and dispatch authorisation.

See how Pro and Basic work
Before the inspection

Questions buyers ask.

Send the product, factory address, batch details and required date. We will confirm the practical inspection scope and quote.

Is quality inspection included in Pro and Basic?

Both plans can include the inspections expressly agreed in the quotation. Pro has a $0 separate service fee, with procurement service costs included in the product quotation. Basic is 5% of product value, minimum $100, for the agreed supplier-management work. The plan name alone does not define the inspection method or coverage.

Do you automatically inspect to AQL 2.5?

No single sampling setting is applied to every electrical product. If sampling is used, we agree the identified lot, sample size or inspection level, defect categories, acceptance parameters and check methods in writing. Safety-related characteristics and product requirements may need a different approach.

Can you check every unit?

We can discuss 100% checking for specified characteristics, subject to the product, facilities, qualified personnel and available time. The quotation sets the check items, quantities, method and cost. Checking every unit for one feature does not verify every aspect of the product.

Can you test electrical safety and performance?

We coordinate the tests agreed for the product using suitable factory facilities, qualified personnel or a third-party laboratory. Share the exact required tests and destination requirements first. Specialist, destructive, type or certification testing requires a separate confirmed scope and cost unless expressly included.

Does a visual inspection verify product certification?

No. We can review model-specific documents and record their stated scope where agreed. Certification status and technical performance require the appropriate issuer evidence or testing for the exact product. Nameplates, logos and a visual check alone do not establish compliance.

Where and when does inspection take place?

We agree the timing and location around your order. On-site work takes place in Yueqing, usually at the supplier or another agreed accessible location. Pre-production review, in-production checks, pre-shipment inspection and re-inspection have different scopes and are confirmed in the quotation.

What happens if products fail a check?

We record the findings and coordinate the agreed corrective action with the supplier and you. Rework, replacement, re-inspection, any warranty and other remedies follow the accepted order agreement. Dispatch follows its release conditions and authorisation.

Can I request an inspection without a procurement order?

Email the product, quantity, supplier address and requested check list. We will confirm whether the work can be arranged and provide a stand-alone quote. The Basic 5% management fee is not an automatic price for a separate inspection.

What do you need to prepare a quote?

Send the model, specification or approved sample reference, order quantity, batch details, Yueqing factory address, inspection date, destination market and required documents or tests. Include your Pro or Basic order reference if you already work with us.
